Privacy Policy: how we handle your personal data

LocoMail attaches great importance to the protection of your personal data. We respect your privacy and only process your personal data for the purpose for which you provided it. We do this in accordance with the General Data Protection Regulation and the Telecommunications Act. In the Privacy Policy we want to provide clear and transparent information about what data we collect, for what purposes and how we handle personal data. We store all personal data in a secure server. We do not pass this information on to third parties for commercial purposes.

Use of our services

When you sign up for our services (eg request for a quote, demo request) we ask you to provide personal data. This data is used to perform the service. We ask for your first and last name in order to address you personally, we ask for your telephone number to be able to contact you quickly in case of ambiguities, you will be informed of the status of your application via e-mail and e-mail is the most communication channel used during the project. We also ask for address details so that we can send a physical sample and complete the quote. This address can also be used as a delivery address for orders.

Where necessary, we share this data with external service providers (within the EU). For example, the transport service needs your name and address in order to deliver the products to you. These third-party service providers may only use your data to perform the relevant services. They are therefore not allowed to use or pass on your data independently. With the third parties we work with, we have protected your data under the GDPR mandatory processing agreement.

Communication

When you send e-mail or other messages to us, we may retain those messages. Sometimes we ask you for your personal information that is relevant to the situation in question. This makes it possible to process your questions and answer your requests. The data is stored on LocoMail's own secure servers or those of a third party. The communication via e-mail, stored in the mailbox, will be deleted within six months after the contact has been completed.

Newsletters and Physical mailings

You will not automatically receive informative and commercial newsletters from us. You must register for this and thereby give permission for the mailings to be sent. When requesting a sample package or a quotation, you can indicate your preference by means of a selection. For example, you can choose not to receive a newsletter, only receive newsletters, only receive physical mailings or receive both newsletters and physical mailings. You can also register for the newsletter by e-mail or telephone. You can unsubscribe from the newsletter at any time or change your preferences regarding the physical mailing by sending an email to contact@locomail.nl. There is an unsubscribe link under each newsletter.

To send the newsletters, we work together with an e-mail software & service. Because we process personal data in this system, we have concluded a processing agreement with this party. Your data will not be used in the e-mail software system for purposes other than sending newsletters. The software registers interactions, so we can see, for example, what percentage of the recipients have opened the newsletter. This allows us to improve the newsletter and tailor it more to the interests of the recipients. We use this software to read open and click behaviour. Clicking and opening behavior is made anonymous by the e-mail system after 12 months. We can then still see that the click was made, but not by whom.

Please note: in the e-mail system we still save e-mail addresses of deleted contacts in a separate list. This prevents us from emailing this person again when an import of a database containing this person is used for a mailing. The rest of the data is deleted.

Cookies

Cookies are (temporary) text files for your PC, which enable us to see how you use the site and how we can make the site better and more customer-friendly. We only use analytical cookies, including for Google Analytics. Most browsers are set to accept cookies by default, but you can reset your browser to refuse all cookies or to indicate when a cookie is being sent. However, some features and services on our and other websites may not function properly if cookies are disabled in your browser.

retention period

LocoMail does not store personal data longer than necessary for the purpose for which it was provided or required by law. Because the orientation towards mailings often takes place at an early stage of a project, we will store the data relating to sample and quotation requests for six months. We are required by tax law to retain details of each purchase for seven years. Further data from customers, including in the original requests, are kept for a maximum of 2 years.

When you, as a customer, provide data for the purpose of sending a personalized mailing, we will store this data for up to two months after completing the mailing. You will receive more information about this in the processing agreement, which must be signed by both parties before production starts.
